From check-in to session feedback, QR codes are the connective tissue of modern events. One scan saves a typed URL or a printed insert.
Pair the QR with a short link so you can change what it points to during the event — agenda, live stream, sponsor page, or feedback form.
The short-link layer is what makes event QRs operationally sane. Signage gets printed days before an event, and events change hourly: rooms swap, sessions cancel, the WiFi code on slide one is wrong. If your printed QRs encode short links you control, every correction is a redirect edit instead of a 2 a.m. reprint. Print once, repoint forever — that's the whole discipline.
Plan the QR lifecycle across event phases. The same physical sign can serve pre-event (registration page), during (live agenda), and after (thanks-plus-survey) if the destination changes on schedule. Assign one owner to the redirect plan; the failure mode is three organizers each 'fixing' the link mid-event.
Venue reality check: conference halls have notoriously overloaded networks. Keep QR destinations lightweight — a fast mobile page, not a 40 MB PDF — and test the load on the venue WiFi during setup, not from the office. For stage slides, remember viewers scan from their seats: a QR needs to be huge (a significant fraction of the slide) and stay on screen long enough for people to get their cameras out. Announce 'this link stays in the follow-up email' for everyone who missed it.
Distinct short links per placement earn their keep in analytics: lanyard vs table tent vs stage slide vs badge insert can each carry a different short link to the same destination. After the event you know exactly which surfaces attendees actually scan — evidence that changes what you print next year.
For check-in specifically, unique-per-attendee QRs (ticket IDs) are a different animal from shared signage QRs: they come from your ticketing platform and encode an identifier, not a URL you rotate. Keep the two systems separate and don't try to make one code do both jobs.
Encode the attendee's ticket ID for instant scan-in at the door — these come from your ticketing system, one unique code per attendee.
Print a QR per room linking to the live agenda for that space; when the schedule shifts, update the redirect instead of the foam board.
Drop a final QR on signage and slides linking straight to the survey — then repoint the same code at the talk recordings a week later.
Give each sponsor booth its own short-linked QR so you can report actual scan counts per sponsor — real numbers for next year's sponsorship deck.
A full-size QR on the closing slide converts stage attention into signups while interest peaks — small corner codes scanned from row 20 don't.
