    QR codes for hosted PDFs

A QR pointing at a hosted PDF beats embedding the PDF binary into the QR (which is barely supported by phone cameras).

Host the PDF behind a stable URL — better, behind a short link — so you can swap the PDF without reprinting whatever the QR appears on.

The versioning problem is the real reason to put a short link between the QR and the file. Manuals get revised, price lists change, brochures get corrected — and the printed QR can't. With a LinkPilot short link as the QR target, 'publish the new PDF' means uploading the file and updating one redirect; every box, flyer, and sign already in the world now serves the new version. Encode the raw file URL and you've frozen version one into your packaging forever.

Mind the file size on mobile. The person scanning is on a phone, often on cellular, sometimes in a warehouse or basement with one bar. A 40 MB print-resolution brochure will simply be abandoned mid-load. Export a web-optimized version (compressed images, no print bleed) for the QR destination, and keep the heavy file as a linked download for those who want it.

Consider whether the destination should be the PDF at all. A lightweight landing page that offers the PDF — with a title, a one-line description, and a prominent 'Open the manual' button — loads instantly, gives you a place to add translated versions or video alternatives later, and works better for accessibility. For single-purpose scans (a spec sheet, a menu insert) the direct PDF is fine; for anything you'll iterate on, the landing page earns its keep.

Phone behavior on PDF links is good but not uniform: modern iOS and Android browsers preview PDFs inline with save and share options, while some in-app browsers hand off to a viewer or download prompt. There's nothing to fix there — just don't design an experience that depends on a specific viewer behavior, and test your actual file on both platforms.

Finally, remember the URL is readable by anyone who scans. Don't put confidential documents behind an unauthenticated 'secret' URL on public signage — anything printed in public should be content you'd happily hand to a stranger, because that's literally what the QR does.

    Common use cases

    Product manuals

Print the QR on packaging so customers always reach the latest manual — revisions ship by updating the redirect, not the box.

    Event handouts

Replace paper handouts with a QR that opens the deck — attendees keep a copy without you printing two hundred.

    Real estate flyers

Link to a full property brochure from a single-page flyer; swap the brochure as photos and prices update through the listing's life.

    Spec sheets and compliance docs

Equipment labels linking to datasheets, safety instructions, or certificates keep the paperwork findable years after the filing cabinet is gone.

    Restaurant inserts

Catering menus, allergen matrices, and nutrition PDFs served from a table QR — updateable weekly without touching the printed insert.
