# How to manage and organize campaign links in one dashboard

A structure for campaign links that lasts: naming rules, tags and collections, owners, editable destinations, and a view that replaces the spreadsheet.

LinkPilot Team (https://uselinkpilot.com/author/linkpilot-team) · The people who build and run LinkPilot at TetraCore, LLC October 26, 2026 · About LinkPilot (https://uselinkpilot.com/about)

Campaign links multiply. One launch produces a link for the email, one for each social network, one for the partner newsletter, one for the QR code (https://uselinkpilot.com/glossary#qr-code) on the flyer, and a few more when someone needs a variant. Three campaigns later nobody can say which link is live, who owns it, or why the clicks on one of them doubled last Tuesday.

To manage and organize campaign links in one dashboard you need a structure the links are created into, not a cleanup afterwards. This guide sets out that structure: what the dashboard has to show, how to name and group links, who owns what, and how to read the result.

## Decide what the dashboard must answer

Before organising anything, write down the questions people ask about links. Most teams have the same five:

- Which links are live for this campaign?
- Where does this link go, and is that still right?
- Who created it and who can change it?
- How is it performing against the other channels?
- Which links can be retired?

A dashboard that answers those from one list, with filters, replaces the spreadsheet. LinkPilot's links list shows slug (https://uselinkpilot.com/glossary#slug), destination, title, status, tags, notes and click count (https://uselinkpilot.com/glossary#click-count) per link, filters by tag, and opens the analytics for the filtered set. Each link's destination can be edited later without changing the short URL (https://uselinkpilot.com/glossary#short-link), which is what makes a printed link survivable.

## Name links so they sort themselves

A naming rule is the cheapest piece of link management and the one most often skipped.

```
<campaign>-<channel>-<placement>
q4-renewal-email-button
q4-renewal-email-footer
q4-renewal-linkedin
q4-renewal-print-flyer
```

Lowercase, hyphens, no dates in the slug (the dashboard knows when it was created), and the same campaign token everywhere: in the slug, in the tag and in `utm_campaign` on the destination. When all three agree, the link dashboard, your web analytics and your CRM group the same campaign under the same name without anyone reconciling them.

Write the rule in one place the team can see, with three examples. Most naming problems come from a second person guessing.

## Group with tags, not folders

Folders force a single hierarchy. Is a link filed under the campaign or under the channel? Tags let it be both.

- **Campaign tag** (`q4-renewal`) for the campaign view.
- **Channel tag** (`email`, `linkedin`, `print`) for the channel view.
- **Optional owner or team tag** (`growth`, `agency-x`) when several teams share the workspace.

Filter by campaign to see one launch across channels. Filter by channel to see how email performs across launches. The same links, two views. LinkPilot also supports collections for a curated set, such as every link in a client's active campaign, when you want a named group rather than a filter.

Resist a tag for every idea. Three or four tag families, used consistently, beat forty tags used once.

## Build tracking into every link

Organisation is only useful if the numbers behind each link are trustworthy.

- **UTM tags on the destination** for every campaign link, generated with the UTM builder (https://uselinkpilot.com/tools/utm-builder) so spelling never drifts.
- **One link per placement** you intend to compare. A single link in four places is four unknowns.
- **A redirect (https://uselinkpilot.com/glossary#redirect) check before launch** and monthly afterwards. The redirect checker (https://uselinkpilot.com/tools/redirect-checker) catches destinations that moved, chains that grew and parameters that got stripped.
- **Edit destinations, never links.** When the landing page moves, change the destination in the dashboard. The slug, the QR codes and the history all stay intact.

## Assign owners and a lifecycle

Every link needs a person who answers for it.

1. **Creator** sets the slug, tags, destination and UTM tags following the rule.
2. **Reviewer** checks high-visibility links before launch: the destination loads, the tags are right, the preview card looks correct in the preview checker (https://uselinkpilot.com/tools/open-graph-preview).
3. **Owner** watches performance during the campaign and decides when it ends.
4. **Archive**, do not delete. Set the link's status so it stops redirecting to a stale offer but keeps its history, and point it at a sensible fallback page.

Team roles in LinkPilot (owner, admin, editor, member, viewer) map onto this: creators and reviewers as editors, stakeholders as viewers, and nobody with more access than their part requires.

## Read the dashboard

With structure in place, the dashboard answers the performance questions directly.

- **Filter by campaign**, exclude flagged bots, and compare unique clicks per channel against the audience each channel reached.
- **Look at referrers** for clicks you did not plan. A link shared onward is a signal about the content.
- **Watch for the spike without a referrer (https://uselinkpilot.com/glossary#referrer)**: often a scanner, a scraper or a link posted somewhere public.
- **Check device and country** when a channel converts badly. The landing page may be wrong for the audience it is actually reaching.
- **Export (https://uselinkpilot.com/glossary#link-import) or share.** Reports can be exported, or a link's analytics published as a page for a stakeholder who has no login. The campaign reports guide (https://uselinkpilot.com/blog/how-to-use-short-link-performance-reports-by-campaign) covers the monthly routine.

## Keep it that way

Once a quarter, filter for links with no clicks in ninety days and archive them. Check that every live link has a campaign tag and an owner. Run the redirect check. Update the naming rule if a new channel appeared. That hour of maintenance is what keeps "one dashboard" true when the next campaign adds its own twenty links.
