# How to choose and use a link tracking platform with webhook integrations

What webhooks from a link tracking platform can and cannot tell you, which events to look for, how to verify and retry safely, and when to use the API instead.

LinkPilot Team (https://uselinkpilot.com/author/linkpilot-team) · The people who build and run LinkPilot at TetraCore, LLC October 26, 2026 · About LinkPilot (https://uselinkpilot.com/about)

A link tracking platform records what happened to your links. A webhook is the platform telling your other systems about it as it happens, instead of waiting for someone to look at a dashboard. The combination is what lets a new campaign link appear in your CRM the moment it is created, or a secret link (https://uselinkpilot.com/glossary#secret-link)'s reveal trigger a ticket update.

Choosing a link tracking platform with webhook integrations means looking past "has webhooks" to which events it sends, how it secures them, and what it does not send. This guide covers all of that, how to build a reliable receiver, and when the API (https://uselinkpilot.com/glossary#api) is the better tool.

## What webhooks from a link platform are for

Three jobs come up repeatedly.

- **Keeping systems in sync.** A link created in the platform appears in the campaign record in your CRM or project tool, with its slug (https://uselinkpilot.com/glossary#slug) and destination, without anyone copying it.
- **Triggering workflows.** A secret link that was opened marks a handoff complete; one that burned without the recipient confirming opens an incident.
- **Feeding a warehouse.** Events land in a queue and then a table, where they join the rest of your data.

What webhooks are not good for is counting. A dashboard that increments a number per webhook will drift from the platform's own report the first time a delivery is retried or delayed. Use the API or an export (https://uselinkpilot.com/glossary#link-import) for numbers and webhooks for actions.

## Which events to look for

Platforms differ on what they emit. Ask for the list, not the feature.

| Event family | Typical events | Good for | | --- | --- | --- | | Link lifecycle | created, updated, deleted | Sync to CRM, audit trail, catching accidental edits | | Secret lifecycle | created, viewed, burned | Handoff confirmation, incident triggers | | Click events | per-click or batched | Real-time automation, at volume | | Domain events | verified, certificate issued | Ops alerts |

LinkPilot's webhooks cover link lifecycle (`link.created`, `link.updated`, `link.deleted`) and secret lifecycle (`secret.created`, `secret.viewed`, `secret.burned`). Click data is available through the analytics API and CSV export rather than as a per-click webhook, which is the right split for most teams: clicks are high-volume reporting data, while lifecycle events are the ones that should trigger something.

If your workflow genuinely needs a reaction per click, confirm the platform batches or rate-limits them, or you will build a receiver that falls over the first time a post goes viral.

## What else to evaluate

- **Signing.** Every delivery should carry a signature computed with a secret you hold, so your endpoint can reject forgeries. A platform that sends unsigned webhooks is asking you to trust any POST request.
- **Retries and ordering.** Find out how many times a failed delivery is retried and over what period, and assume events can arrive out of order.
- **Event IDs.** A unique ID per event is what makes idempotency possible.
- **Endpoint management.** Multiple endpoints per workspace, per- event subscriptions, and a delivery log you can read when something goes wrong.
- **The API beside it.** Webhooks for triggers, API for everything else. Check that link creation, analytics and exports are all available programmatically and that keys can be scoped. LinkPilot's API uses `lp_live_` bearer keys and is on every plan.
- **Team access.** Who can add a webhook endpoint matters, because an endpoint receives data. Roles should let an admin manage endpoints and keep everyone else out.

## Build a receiver that does not fall over

1. **Verify the signature first.** Compute the expected signature from the raw body and your secret, compare in constant time, and reject anything that fails before parsing.
2. **Acknowledge fast.** Return a 2xx within a second or two. Do the real work from a queue, so a slow CRM does not cause retries.
3. **Store event IDs** and skip any you have seen. Retries are normal; double-processing is your bug.
4. **Map fields explicitly.** Pull the slug, destination, tags and timestamps you need into your own schema. Do not store the whole payload as truth; it is a notification, not a record (https://uselinkpilot.com/glossary#a-record).
5. **Log every delivery** with its ID and outcome, so when the platform's log says delivered and your system says nothing happened, you can find out where it went.
6. **Alert on silence.** If an endpoint that usually receives events hourly goes quiet for a day, something broke on one side.

Test with a staging endpoint and the platform's test delivery before the first real campaign. Create a link, edit it, delete it, and watch the three events arrive.

## Protect the data

Webhook payloads describe links and secrets, not people. Keep them that way.

- **Never include personal data (https://uselinkpilot.com/glossary#pii) in link slugs or tags**, because they will travel in every payload about that link.
- **Restrict the endpoint** to the platform's traffic by signature and, where possible, by source address.
- **Store the signing secret in a secrets manager**, not in the receiver's config file, and rotate it on a schedule. If you have to hand the secret to a contractor building the receiver, send it as a one-time secret link (https://uselinkpilot.com/tools/free-secret-link-generator). The webhook signing secret guide (https://uselinkpilot.com/blog/how-to-send-a-webhook-signing-secret-to-a-client-securely) covers that handoff.
- **Keep consent in mind** when click data flows to a CRM. A click record joined to a customer is personal data under most privacy rules.

## Measure the integration itself

- **Delivery success rate** from the platform's log.
- **Processing lag** from event timestamp to your system's record.
- **Duplicate rate**, which should be low but never zero.
- **Reconciliation**: once a week, compare link counts and click totals from the API against what your systems hold. Drift means a dropped delivery or a receiver bug.

A link tracking platform with webhooks lets your links participate in the rest of your stack. Choose one that signs what it sends, tells you exactly which events exist, and gives you an API for the numbers. Then build the receiver as if retries are the normal case, because they are.
