# Custom link tracking for customer success teams: a practical implementation guide

Where customer success links live, how to track them per account with no personal data in the URL, how to read clicks beside adoption, and the privacy rules.

LinkPilot Team (https://uselinkpilot.com/author/linkpilot-team) · The people who build and run LinkPilot at TetraCore, LLC October 26, 2026 · About LinkPilot (https://uselinkpilot.com/about)

Customer success teams send a lot of links: the onboarding guide, the new feature announcement, the renewal summary, the survey, the link to book a call. Each one is a small test of whether the account is paying attention, and most teams never see the result.

Custom link tracking for customer success teams is the practice of making those links measurable per account and per programme, so the team can see which accounts engage, which messages work and where to spend a call. This guide covers where tracked links fit in CS work, how to design the tracking so it reads cleanly, how to interpret the results, and how to do it without turning click data into a privacy problem.

## Where tracked links fit in customer success

| CS activity | Link | What the click tells you | | --- | --- | --- | | Onboarding | Setup guide, first-milestone steps | Which accounts are progressing without a nudge | | Adoption | Feature announcement, how-to, webinar | Which accounts show interest in the feature you want adopted | | Health and renewal | Usage summary, renewal terms, booking link | Whether the decision makers opened what you sent | | Expansion | Case study, upgrade comparison | Which accounts are reading about the next tier | | Feedback | Survey, review request | Response intent before the response |

A click is not an outcome. It is an early, cheap signal that arrives days or weeks before the outcome does, which is exactly what a CS team needs to decide where to spend attention.

## Design the tracking before the first link

**Decide the unit of reporting.** Most CS teams want two views: programme (how did the adoption campaign do across all accounts) and account (how engaged is this customer across all programmes). Build both into the naming.

**Name by programme, then channel.** The campaign token is the programme: `onboarding`, `adoption-reports-q4`, `renewal-2026`. Channel is `email`, `inapp`, `qbr-deck`.

**Add the account as an opaque identifier**, never as a name or email. A CRM account ID or a random token in the slug (https://uselinkpilot.com/glossary#slug) or in `utm_content` lets you join clicks to the account inside your own systems, and means nothing to anyone who sees the URL.

```
go.yourco.com/adoption-reports-q4-email-a8f3k2
utm_campaign=adoption-reports-q4&utm_source=cs&utm_medium=email&utm_content=a8f3k2
```

**Tag every link** with the programme and the channel in the link tool, so the programme view is a filter. The UTM builder (https://uselinkpilot.com/tools/utm-builder) keeps the parameters consistent, and the dashboard guide (https://uselinkpilot.com/blog/how-to-manage-and-organize-campaign-links-in-one-dashboard) has the structure that keeps a year of CS links readable.

## Create and share the links

1. **Build the destination** with UTM tags from the programme, channel and account token.
2. **Shorten it** on your own domain with a readable slug and the programme and channel tags. Links on `go.yourco.com` are trusted in a CS email; generic shortener domains are not.
3. **Generate per-account variants** through the LinkPilot API (https://uselinkpilot.com/glossary#api) when the programme goes to many accounts. The API is on every plan, and a short script that takes a list of account tokens and returns a list of short links is an afternoon's work. The developer integration guide (https://uselinkpilot.com/blog/developer-integration-for-creating-trackable-branded-links) covers the call.
4. **Test on a phone**: redirect (https://uselinkpilot.com/glossary#redirect), HTTPS, UTM tags intact on arrival, click visible in the report under the right tag.
5. **Document the rule** in the team's playbook with three examples, so the next CSM creates links that report the same way.

Edit destinations rather than making new links when a guide moves. The link in last quarter's email keeps working and the history stays with the account.

## Read clicks beside outcomes

Link analytics shows each click's time, referrer (https://uselinkpilot.com/glossary#referrer), device, country and bot flag, filterable by tag. On its own that is engagement. Paired with product and CRM data it becomes a signal you can act on.

- **Clicked and adopted**: the message worked. Note which message, so the next programme starts from it.
- **Clicked and did not adopt**: interest without completion. The feature or the setup step is the obstacle. This is the account to call.
- **Did not click, otherwise healthy**: the message or the sender missed. Try a different channel or a different contact at the account.
- **Did not click, usage falling**: a risk signal that arrived early. Escalate before the renewal conversation.

Exclude flagged bots before reading per-account data; email security tools at the customer's company click every link in a message, which otherwise looks like enthusiasm from the IT department. Lead with unique clicks (https://uselinkpilot.com/glossary#unique-clicks). Compare accounts of similar size and stage, not a 200-seat enterprise against a five-seat startup.

For a quarterly review, LinkPilot can publish a link's analytics as a shareable report page, and exports to CSV join cleanly to a CRM export (https://uselinkpilot.com/glossary#link-import) on the account token.

## Protect the customer and the data

Per-account tracking is close to personal data (https://uselinkpilot.com/glossary#pii), and at small accounts it is personal data. Handle it that way.

- **No names or emails in URLs**, ever. The opaque token resolves only inside your CRM.
- **Limit identifiable click data** to the account team. Aggregate programme numbers can go to anyone.
- **Set a retention period** for click records and apply it.
- **Say it in the privacy notice**: links in communications are tracked to improve the service.
- **Respect consent rules** for the audience and channel, and give customers who object a plain-link option.
- **Do not weaponise it.** A CSM telling a customer "I saw you did not open my email" ends the trust the programme depends on. Use the signal to decide where to help, not to confront.

## Keep it consistent

- One naming rule in the playbook.
- One link per programme, channel and account you will compare.
- Tags on every link.
- A monthly ten minutes to filter by programme, exclude bots, and write three lines on what changed.
- A quarterly check of destinations with the redirect checker (https://uselinkpilot.com/tools/redirect-checker) so no onboarding link lands on a moved page.

Done that way, custom link tracking gives a customer success team what it usually lacks: an early, account-level signal of attention, cheap enough to apply to every programme and clean enough to trust.
